Book-It Software Business Group Case Study

BOOK-IT HELPS THE BUSINESS GROUP SECTOR

Women In Business (Northern Ireland) was set up in October 2002 by ten female entrepreneurs who believed there was a place for a dynamic business network to support the growing number of women who run their own businesses and work in existing organisations. Run by female entrepreneurs for women in business, the network has a large and diverse membership throughout Northern Ireland.

The network runs over 10 seminar or presentation events each year. All offer a great vehicle for networking with like-minded women to increase business contacts and generate new business.

"Women in Business aims to support and empower new and established women owned businesses and women in management positions, by providing information, encouragement, ideas and business connections throughout Northern Ireland."

In July 2006 Women In Business became a Ltd company and appointed a board of directors. This was a major milestone and a turning point for the organisation. As part of this formalisation process Women In Business decided that it needed to improve it's systems and processes with aims which included

  • growing the membership without having to increase staffing
  • putting members in control of their own information
  • allow members to join and book events on-line
  • rebranding to improve the organisation's image

Women in Business wanted to work with a flexible and supportive organisation with a good track record and used to working with small to medium sized businesses. Early in 2007 Instinctive Systems seemed to meet all the requirements with it's personal knowledge of other similar customers and it's approach and understanding of requirements. It's products were easy to use and yet very powerful and very competitively priced compared to other products on the market. Instinctive Systems also came with a proven track record of having closely worked with web designers at Dreamscape Solutions in order to rebrand other customers in the membership and event booking sector through a complete back office and web site redesign rather than having to appoint two companies who had not worked together before and were unfamiliar with each other's products and services.

As a result of the installation of the new Book-It software and new website Women In Business achieved all of it's key goals and more. It's initial membership of around 150 soon exceeded 250 with no additional staffing, the organisation became much more member centric rather than event centric with members in control of their own information and the Women In Business brand received a refreshing makeover.

When asked about how she felt about Instinctive Systems involvement in this major turning point at Women In Business, Susan McCambridge, a director at Women In Business and major facilitator in this crucial development stage said

"Women In Business is delighted with the service they have received from Instinctive Systems. We chose them because we believed they understood our requirements and would work closely with us to deliver a world class membership system for our members. They have delivered on that promise."

When asked whether she could offer any advice to new customers thinking of making similar changes she said

"With the benefit of hindsight our only advice might be that although the Book-It product is easy to use, it is sophisticated and there is a lot to learn if you are going to take full advantage of it therefore following the very beneficial 2 days training at installation it might also be worth considering budgeting for a further 1 day top up training visit perhaps 6 months after installation if your budget can accommodate it. The products and services offered by Instinctive Systems and Dreamscape Solutions have all been excellent. "
